After 25 years of doing annual parts inventories I’m always looking for ways to improve the process. After hours of counting, as employees get tired they tend to make mistakes, and I always felt like we made just as many errors while we were manually posting the data.

A couple of years back when we switched to Lightspeed EVO, I noticed that the system easily allows you to upload inventory count files, and that got me to thinking. What if we could digitize our counts, upload those files, and eliminate a lot of errors in the process? So I got to work, and during the last 2 years we have used Shared Google sheets for counting our inventory. Employees find the part number in the sheet, enter the count, and then go on to the next item. When we are done, I download a count from Google sheets that is then uploaded to EVO. It’s quick and simple, and we’ve reduced the time it takes us to inventory the dealership by more than 50% (while improving the final count).

I’ve talked a couple of other dealers into using the same method, and they both say they will never go back.
